Accommodations and American Sign Language (ASL)

This year, we are taking additional measures to make sure our event is accessible and inclusive to everyone!

This is NOT a general registration form for the event. Attending Science Rendezvous 2024 is free and doesn’t require registration. You should only be filling this form if anyone in your group requires American Sign Language (ASL) interpretation or unique accommodations for physical, mental, and/or learning disabilities.


What to Expect at our Event

  • The event will be taking place between 2 and 9:30 pm. There are 2 major components – booths and stage shows. Booths are open from 2 to 7:30 pm, whereas various stage shows take place simultaneously from 2 to 9:30 pm.
  • Doors are open all day! You can come and leave any time you want during those hours. Typically, we recommend you plan to spend 2-3 hours to make the most of your experience. To get an idea of the types of activities that take place throughout the day, please see the report from our 2023 event.
  • Our event will happen regardless of weather conditions. Beside a relatively small indoor space near the entrance and the limited space allocated to each booth, there are no covers to protect attendees from rain.
  • Attendees will need to move around the football stadium to browse our collection of demonstrations and activities, which are scattered all around the race track that surrounds the football field. In total, this is a minimum walking distance of 1 km. Here is an aerial view of last year’s event to see how everything is laid out – this year, the layout will remain largely the same. 
  • Almost all of our booths are on solid ground – either the race track or concrete.
  • We will have a quiet indoor space that attendees can use to rest and recover should they find the event overwhelming.
  • There will be a seating area with 6-8 large tables and 40-50 chairs on one end of the stadium near the  concession stand, where there will also be a water fountain.

Our event is happening at Alumni Stadium on Western’s campus!

  • The closest major intersection to the stadium is Sarnia and Western Road/Philip Aziz and Western Road. Bus routes that arrive at or near this intersection include: 2, 9, 10, 27, 31, 33, 93. 
  • We provide FREE parking at the Huron Flats and South Valley parking lots (see map). Huron Flats lot includes accessible parking spots right outside the event’s entrance.

Photography disclaimer

Photos and videos will be recorded at this event. If you do not wish to be photographed, we request that you pick up a wrist band from the volunteers at the entrance and wear it visibly on your right arm during your time at the event.

Yes! Food trucks are available. Please note that menus of the food trucks may not include all the options included on the vendors’ websites.
